User Data Deletion & Retention Policy

1. Overview

At IndustryX Suite, powered by SunONE Technologies Private Limited, we value your privacy and handle user data responsibly. This policy explains how user data is managed, deactivated, or retained within our ERP platform, in compliance with Indian data protection and financial record laws.

2. Data Deletion vs. Data Inactivation

Due to the nature of ERP systems and accounting regulations, complete deletion of user and transaction data is not technically or legally possible once financial or operational records have been created. Instead, we follow a secure Data Inactivation Process:

• ● User accounts can be deactivated upon request, preventing further logins or transactions.
• ● Personal identifiers (such as contact details) may be masked or anonymized where possible.
• ● All historical transactions remain available for audit, legal, and compliance purposes.

3. Legal and Compliance Retention

In accordance with Indian statutory requirements (including the Companies Act, 2013 and GST regulations), certain records must be retained for a period of up to 8 years or as prescribed by law. Such data cannot be erased before the retention period expires.

4. Requesting Account Deactivation

If you wish to deactivate your account or request partial deletion of personal data, you may contact our Data Protection Officer at privacy@industryxsuite.com. We will confirm your identity and proceed as per applicable privacy norms.

5. Post-Deactivation Data Handling

• ● Your login credentials will be disabled.
• ● Personal identifiers may be replaced with generic user codes.
• ● Transactional records will remain available only to authorized administrators and for compliance audits.

6. Data Backup and Archival

All data, including inactive records, may continue to exist in encrypted backups until overwritten through the regular archival cycle. These backups are not used for any active processing or profiling.
