How to track batches and serial numbers

When to use which

Use batch tracking when many units are made or bought together and share dates or quality. Use serial number tracking when each unit must be identified, such as a machine with a warranty.

Step 1: Mark the item

Mark the item as batch-tracked or serial-tracked in its master record. Do this before you have stock, so every movement carries a number.

Step 2: Assign numbers on receipt or production

When goods are received or finished, enter the batch or serial numbers with the quantities.

Step 3: Pick by batch or serial

When selling or issuing, choose the batch or serial numbers, so the document shows exactly what left.

Step 4: Trace

If a problem appears, search for the batch or serial number to see where it came from and which customers received it.

Tip

Keep a consistent numbering format, for example date plus line, so numbers are readable on the shop floor.

Which plans include batch and serial tracking?

Batch and serial tracking starts on the Professional plan.

Can I turn tracking on for an item that already has stock?

Plan the change carefully. Existing stock has no numbers, so adjust or re-receive it with numbers. Ask support if unsure.

Is batch tracking useful outside manufacturing?

Yes. Traders and distributors use it for goods with expiry dates or supplier lots.
