How to set up maker-checker approval for orders

Available in Professional and above

Why use it

Maker-checker stops errors and fraud, because no single person can both raise and release a document.

Step 1: Decide the rules

Decide which documents need approval, sales orders, purchase orders or both, and who the approvers are. Keep approvers independent of the people who create the documents.

Step 2: Turn on approval

Enable the checker step for sales and purchase orders and assign the approver role.

Step 3: Test it

Raise a test order as a maker. Confirm it waits for approval and that only an approver can release it.

Step 4: Train the team

Tell makers where to see rejected or pending orders, and tell approvers how quickly they should respond.

Good practice

  • Give approvers only the access they need
  • Review approval turnaround time regularly

Frequently asked questions

Can't find your answer? Talk to us or message us on WhatsApp.

Which plans include maker-checker?

Maker-checker approval for sales and purchase orders starts on the Professional plan. On lower plans, orders are approved straight after creation.

Can one person be both maker and checker?

They should not be. The point of the control is that a second person reviews the document.

Does approval slow down orders?

A little, but it prevents costly mistakes. Set a service target for approvers to keep orders moving.
