Before you start

Add your customer and your items once, with prices and the GST rate. Every later document picks these up.

Step 1: Create the quotation

  1. Choose the customer.
  2. Add each item with quantity and price. GST is worked out from the item's rate.
  3. Set the validity date and the payment terms.
  4. Save and send it to the customer.

Step 2: Convert it to a sales order

When the customer accepts, convert the quotation instead of typing a new order. Items, prices and terms carry over. Check the delivery date before you confirm.

Step 3: Raise the invoice

When goods are dispatched, create the invoice from the sales order. The customer's ledger updates as the invoice is saved.

Step 4: Handle changes

If goods come back or a price is corrected, raise a credit note against the original invoice rather than editing it.

Checklist

  • Customer and items set up with the right GST rate
  • Quotation converted, not retyped
  • Invoice created from the order
  • Returns handled by credit note

FAQs

Frequently asked questions

Can't find your answer? Talk to us or message us on WhatsApp.

Do I need to create a quotation first?

No. You can create a sales order directly. A quotation is useful when the customer needs a priced offer before they commit.

Can I edit an invoice after saving it?

Correct it with a credit note or a fresh invoice, so the original stays on record for GST and audit.

Is this available on the Free plan?

Yes. Quotations, sales orders, returns and credit notes are included on every IndustryX plan, including Free.
